Who We Are

Soltara LP (“Soltara,” “we,” “us”), based in Edmonton, Alberta, Canada, operates Soltara Healing Center retreats and the digital services that support them: this website, the Soltara guest portal, and the Soltara Compass mobile app. This policy describes what personal information those services collect, how we use it, and the choices you have.

Information We Collect

Account information. When you receive access to the guest portal, we collect your name, email address, and sign-in credentials (managed through our authentication provider).
Health and safety screening. Before attending a retreat, guests complete an intake questionnaire that asks about medical conditions, medications, mental-health history, and related information (including pregnancy status). We collect this because plant medicine work has real contraindications — it is used to assess safety and eligibility and to prepare our team to care for you.

Booking and payment information. Retreat reservations and payments are processed by our booking and payment providers. We receive booking details (retreat dates, room selection, payment status and amounts) to manage your stay. Full payment card numbers are handled by the payment processors, not stored on our systems.

Communications. Messages you send through the portal (group chats and direct messages with our team), emails, call notes, and scheduling records for calls you book with us.

Device and technical information. Standard technical logs (such as IP address and browser type) and, if you use the Compass app and enable notifications, a push notification token for your device. We do not track your precise location and we do not use advertising identifiers.

How We Use Information

We use personal information to:

  • screen for safety and contraindications, which is reviewed by our intake and medical team;
  • manage your booking, travel logistics, and stay with us;
  • provide preparation and integration support, including coaching sessions and portal messaging;
  • send you service communications about your retreat (and push notifications, if you enable them);
  • respond to your questions and requests; and
  • operate, secure, and improve our services.

We do not sell personal information, and we do not use your health information for marketing.

Health Information

We treat the information you share in the intake process as sensitive. It is used for safety screening and to inform the team caring for you before and during your retreat. It is not used for advertising and is shared only with the staff and practitioners involved in your screening and care, and with the service providers that host our systems.

How Information Is Shared

We share personal information with service providers that run parts of our infrastructure — including authentication, hosting, databases, our customer relationship system, scheduling, electronic document signing, push notification delivery, and booking/payment processing. These providers process information on our behalf to deliver the services described above.

We may also disclose information when required by law, or when necessary to protect the safety of a guest, our staff, or others. If Soltara is involved in a business transfer such as a merger or acquisition, personal information may be transferred as part of that transaction.

The Compass Mobile App

The Soltara Compass app provides the same guest portal in a mobile shell, with a few device features:

  • Push notifications are optional. If you enable them, we store a device token to deliver them; you can turn them off at any time in your device settings.
  • Biometric app lock (Face ID / fingerprint) runs entirely on your device through the operating system. Your biometric data never leaves your device and is never sent to us.
  • The app does not access your location, contacts, or photos, and contains no advertising.

Cookies

The guest portal uses cookies that are necessary for signing in and keeping your session active. We do not use third-party advertising cookies on the portal.

Retention

We keep personal information for as long as it is needed for the purposes described in this policy — including guest safety, operating our services, and meeting legal, tax, and record-keeping obligations. Because intake and safety records inform care decisions, some records are retained after a retreat ends.

Security

We use reasonable safeguards to protect personal information, including encryption in transit and limiting access to staff who need it for their role. No system can be guaranteed perfectly secure, but we work to protect the information you entrust to us.

Your Choices

You can request access to, correction of, or deletion of your personal information by contacting us. We will honor these requests where applicable law requires, though some information may need to be retained for the safety and record-keeping reasons described above. You can opt out of marketing emails at any time using the unsubscribe link in those emails, and disable push notifications in your device settings.

Children

Our retreats and digital services are intended for adults. We do not knowingly collect personal information from anyone under 18.

Changes to This Policy

We may update this policy as our services evolve. Changes will be posted on this page with an updated date above.
